Why this area

Documents controlled at the source

Management systems, sustainability reporting, controlled documents and lessons learned, each governed at the source.

  • Documents controlled at the source

Registration, numbering, revision, review, approval, publication and distribution in one lifecycle.

  • Systems built against standards

A multi-standard management system: understand the clauses, build against them, operate and audit.

  • Knowledge that survives the project

Lessons captured against the work, reviewed, approved and reused.

How the work moves

5 stages, each owned by an application.

Every stage is a working part of a Zemerc application today, and each application runs on its own. An operating area is how they are bought, not a bundle they have to be bought in.

Inside the application

ESG: Environmental, Social & Governance Management System

Carbon, disclosure frameworks, materiality and reporting.

The ESG executive dashboard: total emissions with Scope 1 and Scope 2 split, open incidents, high residual risks, open obligations, suppliers and KPIs, with emissions by period, emissions by scope, and the attention list across compliance, risk, incidents, obligations and supplier ratings

Scope 1 and Scope 2 are carried as their own inventories by period, never merged, and attention is listed above the summary rather than below it.

  • Coverage is measured, not asserted.
The governed knowledge estate records the number and type of objects, confidence level and applicable jurisdictions.
  • Revisions that supersede
Issuing a report supersedes the previous revision, and the register keeps what was previously issued.
  • Review compliance measured
What is in review, due for review, without a schedule and without an owner are each reported. A register nobody maintains is visible as such.
How the record moves

Evidence, disclosure and the memory between them.

IMS governs the management-system framework; ESG governs sustainability disclosures; EDMS governs controlled evidence; and LLMS governs how operational learning is reviewed, retained and reused.

  1. Integrated management system
    Sustainability

Audits and obligations reference the clauses the system defines

  2. Documents
    Disclosure

A controlled revision is the evidence a disclosure rests on

  3. Lessons learned
    Improvement

A reviewed, published lesson feeds the next assessment rather than a folder

Board · what is reported upward

Bring one document register or one lesson.

A board pack frozen at issue still reads in December as it read in March, which is the only way a governance decision can be reviewed after the fact.

  • Revision history; EDMS keeps revisions, transmittals and acknowledgements per document.
  • Eight-stage lesson lifecycle; LLMS moves a lesson from capture to reuse with knowledge-health reporting.
  • Understand, build, operate; IMS structures a management system against multiple standards.
The management system

Compliance is an outcome of a functioning management system, not the management system itself.

The management system is organised around the organisation's operations rather than around clause numbering. It is established as an editable governed system from the outset, with performance reported by area so weakness is not hidden within an aggregate score.

  • Health reported per area as live against total
  • Next actions stated as named work with a severity, not a readiness percentage
  • Approved but unpublished artefacts not counted as operational evidence
Operations · where the evidence is made

Where this area is actually worked.

Disclosure is only as good as the operational record beneath it. The organisation that reports well is the one whose registers were already being kept.

  • Governed report flow; ESG runs disclosure through a stepped, governed flow.
Questions we are asked

Before the first working session.

  • Which applications belong here?

    IMS, ESG, EDMS and LLMS.

  • Is EDMS used by other applications?

EDMS is the document backbone: it is relevant to every operating area.

  • Can LLMS run alone?

Yes. Lessons learned can be adopted on its own and connected to projects later.

  • Revision history

EDMS keeps revisions, transmittals and acknowledgements per document.

  • Eight-stage lesson lifecycle

LLMS moves a lesson from capture to reuse with knowledge-health reporting.

  • Understand, build, operate

IMS structures a management system against multiple standards.

  • Governed report flow

ESG runs disclosure through a stepped, governed flow.
